Student Onboarding

Have you been offered and accepted a job with Georgia Tech? If so you must complete HR processes prior to starting your position. GradHiring allows new graduate students working for Georgia Tech (GRAs, GTAs, and GAs) to complete their onboarding process all at once. This process will trigger information to Banner to post your fee waiver and set-up your direct deposit to receive your paycheck. If you fail to properly onboard, any tuition waiver will not be applied.

Note:GradHiring will look very different this year. Due to OneUSG Connect and the new Employment Center for remote Student Hire Packets, along with COVID-19, the in-person event will be significantly smaller than previous years.

What to do when your student has not received a hiring packet

If a student has not received their Student Hire packet email, it is because their new hire transaction has not reached the final (level 5) approval step.
 
GTHR is devoting additional resources to identify errors and to prioritize level 4 & 5 processing of new student hires.
 
However, we are also asking departments to aid us in troubleshooting by checking the approval flow of submitted transactions and report missing approval paths or other immediate graduate student hiring concerns to gradhiring@lists.gatech.edu.

 Onboarding — U.S. Citizens and Green Card Holders

You must complete your Employment Center Student Hire Packet by August 8 to attend GradHiring.

Step 1: After your department hires you, open emails from donotreply@equifax.com and proceed with completing your online Student Hire Packet in the University System of Georgia Employment Center.

  • You will receive two emails: one will contain your Login ID and link to the Student Hire Packet and the second will contain your password.
  • These emails will come from DONOTREPLY@Equifax.com. If you cannot find the email, check your spam folder.
  • As part of your online Graduate Institute Orientation through Canvas, you will also receive access to a supplemental module on Graduate Student Employee hiring. This module will walk you through how to complete your Student Hire Packet and onboarding at GradHiring.
  • For any questions regarding the hiring paperwork, submit a ticket in Service Now

Step 2: Once your Student Hire Packet is complete, schedule your GradHiring timeslot via the links provided in the Canvas tutorial module

Step 3: Complete your in-person final onboarding at GradHiring. Bring originals (no photocopies) and unexpired identification to GradHiring. Click here to see what we accept.   

Step 4: After you completed in-person onboarding at GradHiring, complete the following steps:

Onboarding  Foreign Nationals

You must complete your Employment Center Student Hire Packet by August 8 to attend GradHiring.

Step 1: Complete International Student Check-In online with Georgia Tech Office of International Education (OIE). 

Step 2: After your department hires you, open emails from donotreply@equifax.com and proceed with completing your online Student Hire Packet in the University System of Georgia Employment Center.

  • You will receive two emails: one will contain your Login ID and link to the Student Hire Packet and the second will contain your password.
  • These emails will come from DONOTREPLY@Equifax.com. If you cannot find the email, check your spam folder.
  • As part of your online Graduate Institute Orientation through Canvas, you will also receive access to a supplemental module on Graduate Student Employee hiring. This module will walk you through how to complete your Student Hire Packet, GLACIER, Social Security Application, and onboarding at GradHiring.

Step 4: International Tax Compliance – GLACIER

  • All foreign nationals working at Georgia Tech must utilize GLACIER.
  • Training on how to complete your GLACIER documents will be available as part of your Graduate Student Employee tutorial in Canvas. 
  • Once you have arrived in the U.S., please log into GLACIER and complete required data entry.
  • Upload completed documents to iStart prior to GradHiring.

Step 5: Complete your in-person final onboarding at GradHiring. Bring originals (no photocopies) and unexpired identification to GradHiring. Click here to see what we accept.   

Step 6: After you completed in-person onboarding at GradHiring, complete the following steps:

Step 7: If a Social Security Number is needed, complete the following steps:

  • Request an interview appointment for the Social Security Administration via the SSA Assistance Request e-form in iStart (under the SSN and Taxes section of the site)
  • Receive your confirmed Social Security Administration appointment date, time, and location from the Office of International Education via email
  • Gather necessary documents for Social Security Card Application
  • Attend assigned appointment and submit application in person
  • Once the Social Security Card is received, update GLACIER with the number and schedule an appointment with Georgia Tech Human Resources to show the original card (no photocopies)

Onboarding  Rehires

A student who has been previously employed and/or paid by Georgia Tech within the past two calendar years will need to take the following steps and is not required to complete a Student Hire Packet or attend GradHiring. 

Step 1: Access Employee Self Service in OneUSG Connect and complete the following:

Step 2: If you have not completed a Conflict of Interest certification in the last year, proceed with completing a new certification.

  • A student who has been previously employed and/or paid by Georgia Tech but has not worked within the past 2 calendar years must complete the Equifax Compliance Center Student Hire Packet and attend GradHiring to complete Part 2 (I-9 and Security Questionnaire). 
    • If a student is a Foreign National rehire whose work authorization document (I-20/DS-2019) has been extended or renewed, please schedule an appointment and visit the GTHR.  
    • If you are a rehire and received a Student Employment Packet email in error from DONOTREPLY@equifax.com, submit a ServiceNow ticket to notify GTHR. Include your Employee ID (available on your last paycheck) in the ticket request. Failure to submit a ticket will delay your hiring process.
