Campus Closed FAQs

Q. What if I did not report to work because I scheduled vacation during the campus closure?
A. You will receive campus closed time for the time you scheduled vacation. Non-exempt employees should record regular shift hours as campus closing (CCD).

Q. What if I was out sick or requested the campus closure day/s as a sick day(s)?
A. You will receive campus closed time for the time you scheduled sick leave. Non-exempt employees should record regular shift hours as campus closing (CCD).

Q. What if I am a non-exempt employee and was scheduled to work second or third shift during the campus closure?
A. For example, if the campus closed time initiated at 1:30 p.m. on Tuesday, until 12 a.m. on Friday, any shifts scheduled during that time will still receive campus closed time.

Q. What if I am a Tech Temp or student employee and was scheduled to work during the campus closure?
A. Tech Temps and student employees will be paid for actual hours worked only but will not receive campus closed time.

Q. What if I am Retired but Working and was scheduled to work during the campus closure?
A. Monthly, exempt, retired-but-working employees have no reporting requirements. Bi-weekly retired-but-working employees who did not report to work will not be paid during the campus closure. Bi-weekly retired-but-working employees will be paid for actual hours worked and will not receive campus closed time.

Q. What if I did not report to work the day following a campus closure day?
A. You will not receive campus closed time. You must use vacation and/or sick leave based on the nature of the absence. 

Q. I am an essential bi-weekly employee and work a night shift that starts at 8 p.m. On Wednesday, the campus was declared closed for shifts beginning at 8 a.m. Wednesday through 1 a.m. Thursday. How do I complete my time card?
A. For Wednesday, you will record 8 hours of actual work time and 5 hours of Campus Closed Essential (CCE) time (this covers the start of the shift at 8 p.m. until the end of the campus closed period at 1 a.m.). For the hours that roll into Thursday after 1 a.m., you will record only the actual hours worked until the end of your schedule.

Q. I am an essential bi-weekly employee working a compressed workweek; on Monday, the campus was declared closed for shifts beginning at 7 a.m. to 5 a.m. Tuesday. My normal schedule is from 2 p.m. to midnight. How do I complete my time card?
A. You will record your actual hours worked plus you will record Campus Closed Essential (CCE) time for the same number of hours.

Q. My department has not designated me as an “essential employee;” however, my supervisor is telling me I need to come in. What should I do?
A. Based on the ability to report to work, you should do so as instructed. You will be paid as an essential employee for all hours worked. You will record your actual hours worked plus you will record Campus Closed Essential (CCE) time for the same number of hours.

Q. I am a regular telecommuter and the campus was closed today, how should I record my time?
A. As telecommuting involves working at a satellite location, other office, or home, you will not be eligible to receive campus closing time, unless your ability to work or access is interrupted by the inclement weather or emergency conditions.

Q. I am a non-essential bi-weekly employee working a compressed workweek and have Fridays off. The campus was declared closed on Friday. Will I be eligible for unscheduled closing time?
A. No. This will be considered your normal day off.

Q. I am a non-essential bi-weekly employee working a compressed work week of four 10-hour days. Last Friday, the campus was declared closed for the day. How do I complete my time card?
A. If you are scheduled to work on Fridays at part of your workweek, you will record your regular shift hours as campus closing (CCD). 

Q. I am a non-essential bi-weekly employee working a compressed workweek of four 10-hour days. My schedule is from 8 a.m. to 7 p.m., and I work on Mondays. Last Monday, the campus was declared closed at 11 a.m. How do I complete my time card?
A. You will record the actual hours you worked in the morning (3 hours) and 7 hours as campus closed time (CCD). The total number of actual hours worked plus campus closed hours should equal the employee’s regular shift hours

Q. I am an essential bi-weekly employee and work a night shift that starts at 8 p.m., the campus was declared closed at 8 p.m. How do I complete my time card?
A. You will record 4 hours of actual work time and 4 hours of Campus closed time (CCE) (this covers the start of the shift at 8 p.m. until the end of the workday at 11:59 p.m.). For the hours that roll into Thursday, you will record only the actual hours worked until the end of your schedule (no campus closed time).

Q. I am an essential bi-weekly employee working a compressed work week; on Monday, the campus was declared closed. My normal schedule is from 2 p.m. to midnight. How do I complete my time card?
A. You will record your actual hours worked plus you will record Campus Closed Essential (CCE) time for the same number of hours. 

Q. I am a bi-weekly employee who has not been deemed “essential personnel” by my department. Therefore, I was not required to come to work last Friday when the campus was declared closed. I decided to come into the office anyway because I had an important report I needed to finish for my Dean. How do I complete my time card?
A. You will record your actual hours worked and if you worked less than a full work day, record campus closing time (CCD) for the remaining hours for a total of 8 hours combined. Please note, however, that you may be subject to disciplinary action for not adhering to a campus closure directive since your supervisor did not request that you report to work.

Q. I am a non-essential bi-weekly employee. Last Friday, the campus was declared closed at noon. I volunteered to stay to help finish up some work. How do I complete my time card?
A . If your work was not deemed essential services, you will record your actual hours worked and, if you worked less than a full work day, record campus closing time (CCD) for the remaining hours for a total of 8 hours combined.
